Position: Bookkeeper / Office Administrator
Reports to: President and CEO
Status: Part Time, Non-Exempt
Compensation: $25 - $30 per hour, based on experience

Position Overview: The Bookkeeper / Office Administrator is responsible for managing daily and monthly accounting functions including accounts receivable, accounts payable, and payroll processing, as well as providing general administrative support to ensure efficient office operations.
Major Responsibilities:
Accounts Receivable
- Record daily income in ChamberMaster (CM) and QuickBooks (QB).
- Identify and code cash/credit card/check receipts by bank account & GL revenue account.
- Record payments received in Membership Database, export payments to appropriate QuickBooks bank accounts and post deposits in QuickBooks.
- Send monthly reminders for outstanding renewal and event invoices.
- Process membership drops and renewals monthly.
- Reconcile all accounts at the beginning of each month in QB.
- Verify expense invoices and obtain necessary approval for payment.
- Process and export Accounts Payable invoices.
- Process 1099 misc. forms
Office Administration
- Maintain organized electronic and physical filing systems.
- Monitor office supplies and place orders as needed.
- Assist with managing office equipment, vendor relationships, and service contracts.
- Answer and route incoming calls; greet visitors and provide general support to staff.
- Assist in preparing correspondence, reports, and other administrative documents.
- Work directly with CEO and staff providing reports for budget creation.
- Purge documents when needed according to the Retention Policy.
- Assist annual audit preparation.
- Provide support at events as needed.
- Extensive experience in accounts receivable, accounts payable, database management.
- Strong computer skills, including Excel, QuickBooks, or other accounting applications.
- Excellent verbal and written communication skills.
- Highly detail-oriented and process-driven.
- Experience with ChamberMaster – membership and accounts receivable system designed for Chambers of Commerce preferred.
- Degree preferred but not required. Candidates with strong bookkeeping experience will be fully considered.
- Professional certifications are preferred, including:
- Certified Bookkeeper (AIPB)
- Certified Public Bookkeeper (CPB)
- QuickBooks ProAdvisor Certification
- 5–10+ years of hands‑on bookkeeping or accounting experience strongly preferred.
- Chamber of Commerce experience and knowledge helpful and preferred.
